Tags are one of the most powerful organizational tools in HighLevel. They let you label contacts and trigger automations based on those labels.

What Tags Are Used For

  • Organizing contacts — Group contacts by interest, source, or status
  • Triggering workflows — "Tag Added" can start automations
  • Filtering lists — Find specific groups quickly
  • Segmenting campaigns — Send targeted emails to tagged groups

How to Create Tags

Option 1: In Settings

  1. Go to Settings → Tags
  2. Click Create Tag
  3. Enter the tag name
  4. Save

Option 2: While Adding Contacts

  1. Open a contact or create a new one
  2. Click the Tags field
  3. Type a new tag name
  4. Press Enter — the tag is created and applied

Option 3: In Workflows

When building a workflow, the "Add Tag" action lets you create new tags on the fly.

Using Tags in Workflows

As a Trigger

  • Tag Added — Fires when a specific tag is applied to a contact
  • Tag Removed — Fires when a tag is removed

As an Action

  • Add Tag — Apply a tag to the contact in the workflow
  • Remove Tag — Remove a tag from the contact

Example: Lead Scoring with Tags

  1. Contact fills out form → Add tag "Lead"
  2. Contact books call → Add tag "Sales Qualified"
  3. Contact purchases → Remove "Lead", Add tag "Customer"

Each tag addition can trigger different follow-up sequences.

Best Practices

  • Use consistent naming — "lead-facebook" not "Facebook Lead"
  • Don't over-tag — Keep it manageable
  • Use tags for segments — Not individual statuses
  • Document your tags — Know what each one means

Tags in AI Bot Workflows

Tags become even more powerful when combined with AI chatbots. In CloseBot V2, tags control which workflow a contact enters — a "router" workflow checks the incoming message, assigns a tag based on intent, and routes the contact to the right conversational flow. No tag, no response. The right tag, the right bot.
