Every call that rolls to voicemail is a job that might go to someone else. A small business owner is on a ladder, driving, or with a customer when the phone rings. HighLevel Voice AI answers every call, collects the caller's details, and hands the owner a ready lead to call back. Add the return-caller trick below, and your repeat customers, the warmest leads you have, get recognized instead of re-interviewed. You miss fewer calls, the callbacks are shorter, and customers feel remembered.
HighLevel Voice AI has come a long way, and it is pretty amazing. The catch is that it treats a returning caller like it has never talked to them before. Someone who called last week about a clogged toilet gets asked for their name, phone number, and address all over again.

Here is the trick that fixes it. Merge fields work inside the Voice AI prompt, and HighLevel fills them in before the agent reads it. Put the caller's contact fields in the prompt, and the agent knows who it is talking to before it says a word.

Want to see it working? Watch the test calls on YouTube → A new caller phones in about a clogged toilet. Then the same number calls back about a dishwasher, and the agent says, "I see you've called in from this number before. Is this LeBron?"

Here is a basic prompt before and after. Red lines come out, green lines go in.

You are the receptionist for Acme Home Services. Be friendly. Ask one question at a time. + ## What we know about this caller+ First name: {{contact.first_name}}+ City: {{contact.city}}+ Address: {{contact.address1}}+ Phone: {{contact.phone}}+ Last job: {{contact.quick_job_description}}+ - Ask for the caller's full name, phone number, city, and address.- Ask what they need help with.+ If the first name is blank, this is a new caller.+ Ask for their full name, phone number, city, and address.+ Ask what they need help with.+ If the first name is filled in, this is a returning caller.+ Ask "Is this {{contact.first_name}}?"+ Ask "Is this still about the {{contact.quick_job_description}}, or something else?"+ Never ask for anything already listed above. Close by telling them the owner will call back.

The first name is the switch. Blank means a new caller, and filled in means you have talked before.

The other half is saving what the agent learns. Create a custom field called Quick Job Description. Then add an extraction action to the Voice AI agent that writes the job to that field when the call ends, in two to five words like "leaky toilet" or "drywall repair". The next time that person calls, the field is already filled in and lands right in the prompt. Set the extraction to overwrite, so the field always holds the latest job.
